Many companies, due to either storage or legal reasons are starting to require mailboxes to have their old mail purged after a certain amount of time. This Mail
Maintenance Database makes this easy, requiring NO changes to existing mail templates or other such hassles. It consists of an agent that pulls information from
the Profile document, and acts on each mail file that will match the configured template name.
Some benefits:
- Only deletes documents made with forms you specify. If you wish to delete other kinds of documents within the mail file, it can be configured to do so.
- Will let you specify a number of days to delete older than.
- Gives a "Warning Message" for mail that will be deleted from each user's mailbox the next purge, allowing them to print or archive.
- Also optionally allows you to add an Administrator or Admin Group to be added as Manager ACL in each mailbox.
- Allows you to exclude certain mailboxes by changing the name of their template.
Since this application can be extremely dangerous, absolutely NO warranties or guarantees of any kind are given. This is used at your own risk.
This database is a full featured demo. At this point, the only thing you cannot do is edit the source or change the schedule that the database runs. It is pre-programmed
to run Saturday morning at 6 AM. This database has only been tested on R5 at this time.
New Features Include:
- The Ability to dynamically choose which documents to delete by the form that your mail template uses. When the profile document starts, it opens your mail
file and gathers a list of every form. It then will filter out a few of the forms that should never be chosen, allowing you to choose other documents you may
wish to delete, or to possibly choose new forms that will be available in future releases. Because it uses the mail file of who is editing the profile to make
the list, you cannot edit the profile directly on the server, you will get a type mismatch error.
- Easier to use Profile form.
- Slight cleanup of unnecessary code.
- Ability to Activate or Deactivate the agent from the Profile document, without having to ever use the Agents view of the designer.
- Only activate on messages with File attachments option.
- Bugfixes such as using the PostedDate for the criteria instead of the @Created date.
